BB Disability & Mental Health Services takes your privacy seriously. This policy explains how we collect, use, store, and share your personal information as a registered NDIS provider serving Dapto, Wollongong, Shellharbour, Kiama, Nowra, Moss Vale, and the wider Illawarra and Shoalhaven regions of NSW.

We operate under the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the National Disability Insurance Scheme Act 2013 (Cth), and the Health Records and Information Privacy Act 2002 (NSW).

Who this Policy Applies to

This policy applies to NDIS participants, their families, nominees, guardians, carers, and anyone who contacts BB Disability & Mental Health Services or visits www.bbdisability.com.au.

Because BB Disability & Mental Health Services delivers disability support, Supported Independent Living (SIL), Specialist Disability Accommodation (SDA), Support Coordination, Psychosocial Recovery Coaching, and mental health support, we regularly handle sensitive information including health and disability-related records. We treat all of it with the highest level of care.

What Personal Information We Collect

BB Disability & Mental Health Services collects only what is needed to support you well. This may include:

Your full name, date of birth, address, phone number, and email address. Your NDIS participant number, plan details, and funded supports. Information about your disability, health conditions, mental health, and support requirements. Details of the GPs, allied health professionals, or other providers involved in your care. Contact details for your nominated representative, authorised representative, or legally appointed guardian. Records of any feedback or complaints you raise with us. Staff and contractor employment records, including NDIS worker screening checks.

How We Collect it

BB Disability & Mental Health Services collects information directly from you wherever possible. This happens when you call us, email us, complete our contact or enquiry form, sign a Service Agreement, or speak with us during support planning.

With your consent, we may also receive information from your Support Coordinator, Plan Manager, Psychosocial Recovery Coach, GP, or other allied health professionals. We may also receive information from the National Disability Insurance Agency (NDIA) or the NDIS Quality and Safeguards Commission where required.

Why We Collect it

BB Disability & Mental Health Services uses your information to:

Assess whether we can safely and appropriately support you. Set up and manage your support and Service Agreement. Communicate with you and the professionals involved in your care. Meet our registration and reporting obligations with the NDIS Quality and Safeguards Commission. Handle feedback, incidents, and complaints in line with the NDIS Practice Standards. Keep accurate records for quality review and auditing.

We will not use your information for any other purpose without your consent.

Sensitive Information

Because BB Disability & Mental Health Services works in disability and mental health support, we regularly handle sensitive information including health details, disability diagnoses, and mental health records. We collect and use this only with your consent, or where the law requires or permits it. We never use your sensitive information for purposes beyond what you have agreed to.

Who We Share Your Information with

BB Disability & Mental Health Services does not sell your information and does not share it for marketing purposes. We may share it, with your consent or as required by law, with:

Support workers and other providers involved in delivering your NDIS supports. Your Support Coordinator, Plan Manager, or Psychosocial Recovery Coach. Medical and allied health professionals supporting your care. Your nominated representative, authorised representative, or legally appointed guardian, where you have consented or the law permits. The NDIS Quality and Safeguards Commission, or other government agencies as required by law. Law enforcement or courts where required by law. Our legal, accounting, or insurance advisers, who are bound by their own confidentiality obligations.

Any third-party platforms BB Disability & Mental Health Services uses, such as secure cloud storage, are required to meet Australian privacy standards. We do not send your information overseas unless you have consented or the law requires it.

Keeping Your Information Safe

BB Disability & Mental Health Services stores all personal information securely. Our measures include password-protected systems with access limited to staff who need it, locked storage for paper records, regular security reviews, and secure disposal of records no longer needed.

No system can guarantee absolute security, but we take every reasonable step to protect yours.

Data Breaches

If a data breach occurs that is likely to cause you serious harm, BB Disability & Mental Health Services will act quickly. We will investigate, contain the breach, notify you, and report to the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme in the Privacy Act 1988 (Cth).

Your Rights

You have the right to access the personal information BB Disability & Mental Health Services holds about you, and to ask us to correct anything that is wrong or out of date. To make a request, contact us:

We will respond at no charge in most cases. If we cannot provide access to certain information, we will explain why in writing.
